請求書 for the invoice system
The document is in Japanese by default, with the conventional layout: the 請求書 title, your client with 御中 or 様, the amount box with the total including tax, and your name with an optional seal. Items at the reduced 8% rate are marked ※, and the tax is totalled and rounded once for each rate, as the qualified invoice rules require.
Registered issuers add their T-number. Individuals billing writing, design, lecture or translation fees can turn on 源泉徴収 withholding, and dates can be shown in the Japanese era (令和).
What a valid Japan invoice should include
- Issuer name (your business name)
- Registration number (T + 13 digits)
- Transaction date (取引年月日)
- Details of each item, with reduced-rate items marked
- Recipient name (宛名)
- Issue date
- Payment due date (お支払期限)

Frequently asked questions
What must a qualified invoice (適格請求書) show?
The issuer's name and registration number (T + 13 digits), the transaction date, the details with reduced-rate items marked, the totals and tax rates per rate, the consumption tax per rate, and the recipient's name. Without a registration number the document is not a qualified invoice. The checklist tracks each item.
How is consumption tax rounded?
Once per invoice for each tax rate, as the invoice system requires; rounding each line is not allowed. Round down (切り捨て) is the default; round half up and round up are available.
Can it calculate withholding tax (源泉徴収)?
Yes. Turn on withholding and mark the items it applies to: 10.21% up to ¥1,000,000 and 20.42% above, rounded down to the yen, printed as 源泉徴収税額 and 差引ご請求金額.
Can I add my company seal (角印)?
Yes. Upload an image of the seal and it is printed over your name in the issuer block.
Can I issue it in English?
Yes. Choose English, or bilingual Japanese and English.
Do you store my invoices?
No. Your invoice is sent to our server only to build the preview and the PDF, and the PDF is deleted within an hour. Your business details, draft and recent clients are saved in your own browser so you don't have to type them again; "Clear my data" removes them.
